Privacy Policy

Equal Access (Foreningen Lige Adgang) processes personal data in connection with the association’s activities, including membership, mentoring programmes, projects, events and communication. We process your personal data responsibly and in accordance with the General Data Protection Regulation (GDPR) and the Danish Data Protection Act.

In this Privacy Policy, you can read about which personal data we process about you, why we process it, how we use it, and what rights you have in this regard.

2. What Personal Data Do We Process

We process personal data about our mentors, mentees and members, as well as participants in the association’s projects, workshops, conferences, and other events.

We may also process contact details of partners, including representatives of public authorities, organisations and companies.

Special Categories of Personal Data

In certain cases, we also process special categories of personal data in accordance with Article 9 of the GDPR. This may include, for example:

  • General health information, including physical or mental disabilities
  • Ethnic origin and religious beliefs


In special cases, and with your consent, we may also process information relating to criminal offences in the form of a criminal record certificate, if necessary for carrying out tasks or participating in activities within Equal Access (Foreningen Lige Adgang).


3. Purpose and Legal Basis

We process personal data in order to administer membership, mentoring programmes and other association activities, in accordance with Article 6(1)(b) of the GDPR.

We also process personal data based on our legitimate interests in operating the association and fulfilling its purpose, pursuant to Article 6(1)(f) of the GDPR, where our legitimate interests override your interests or fundamental rights and freedoms.

Processing takes place for the purpose of:

  • Administration of membership and mentoring programmes
  • Matching and coordination between mentors and mentees
  • Communication regarding the association’s activities, events and offers
  • Planning and organising workshops, networking activities and other association-related events
  • Collection of membership fees
  • Handling rights and obligations pursuant to the association’s statutes


Payment information

We process payment information in order to complete payments and fulfil the membership agreement, pursuant to Article 6(1)(b).

Special Categories – Mentoring Programmes

In connection with mentoring programmes, Equal Access (Foreningen Lige Adgang) may, in certain cases, process special categories of personal data relating to mentees, including information about health, psychological diagnoses and private matters, where such information is relevant for planning and carrying out the mentoring programme.

Such information is processed only where the mentee has voluntarily provided the information and where processing is based on the mentee’s explicit consent, pursuant to Article 9(2)(a) and Article 6(1)(a) of the GDPR.

The information is used solely for the specific mentoring programme and will not be disclosed to third parties without separate consent.

Photos and Video

The association may use photos and videos from activities for documentation and communication about the association’s work.

For smaller events, we obtain consent where required. For larger events, we clearly inform participants about photography, and you may always object to being photographed.

In connection with mentoring programmes, we always obtain explicit consent before using photos, videos or personal stories as examples or case studies in our communication, including on our website, social media or in materials for foundations and partners.

Consent may be withdrawn at any time, after which the material will no longer be used going forward.

 

4. Who Do We Share Your Data With

Equal Access (Foreningen Lige Adgang) only discloses personal data to third parties when necessary to carry out the association’s activities, fulfil our obligations, or where required by law.

Personal data may be disclosed to:

  • Public authorities, where required by law
  • IT suppliers and other partners assisting with technical operations, support and administration (data processors)
  • Educational institutions and other partners, including FGU, in connection with mentoring programmes
  • Partners and event organisers where necessary in connection with activities


In mentoring programmes, relevant information may be shared with the assigned mentor where necessary. Special categories of personal data are shared only on the basis of explicit consent.

Equal Access (Foreningen Lige Adgang) also shares personal data with data processors providing:

  • IT-systems and support
  • Membership and mentoring administration
  • Analysis and evaluation services
  • Website and event services


We have entered into data processing agreements with all data processors to ensure that your personal data is processed in accordance with applicable data protection legislation.

We do not disclose your personal data to third parties for marketing purposes.

Transfers to Third Countries

Equal Access (Foreningen Lige Adgang) only transfers personal data to countries outside the EU/EEA where necessary in connection with services provided by our data processors.

We ensure that such transfers are subject to appropriate safeguards, for example, through the use of the European Commission’s Standard Contractual Clauses (SCCs) or the EU-US Data Privacy Framework.


5. Retention of Personal Data

We retain personal data for as long as necessary to fulfil the purposes for which the data was collected.

Information about mentors is retained for as long as the mentor is affiliated with the association. After the end of the active affiliation, the information may be retained for the purpose of possible future collaboration, until the mentor requests deletion, but for no longer than three (3) years after termination.

Information about mentees is retained for as long as the relevant project or mentoring programme is active, and to the extent necessary for documentation, evaluation and reporting to foundations and partners. After the project ends, the information is deleted or anonymised within a reasonable period, and no later than three (3) years after the end of the project, unless there is a legitimate legal basis for continued retention.

Special categories of personal data are retained only as long as necessary for the specific mentoring programme and are deleted thereafter.

Personal data required for accounting purposes is retained in accordance with the Danish Bookkeeping Act for the financial year plus an additional five (5) years.
